How Polaris handles personal data during early access.

Who this policy applies to
This policy applies to visitors to the Polaris website, workspace administrators, support agents and people whose information is submitted to a Polaris workspace. For product data, the subscribing customer is normally the controller and Polaris acts as its processor. For account administration, security, billing and our own business operations, Polaris may act as controller.
Information we process
- Account, workspace and authentication information.
- Customer support data submitted to a workspace, including messages and attachments.
- Technical, security and operational records needed to provide and protect the service.
- Information supplied when contacting Polaris or joining early access.
Why we process information
We process information to provide Polaris, secure accounts and tenant data, operate support and billing workflows, diagnose faults, respond to enquiries and meet legal obligations. We do not sell personal data.
Storage and sharing
Polaris currently uses managed infrastructure providers, including Amazon Web Services, to host application data and files. Access is limited to what is required to operate the service. Where a provider processes personal data on our behalf, we require appropriate data-protection obligations. Details are set out in the Data Processing Terms and current Subprocessor Register.
Retention and your rights
Data is retained while needed to provide the service, satisfy customer instructions and meet legal or security requirements. Under UK data-protection law, individuals may have rights including access, rectification, erasure, restriction, objection and data portability. Workspace customers are responsible for handling requests relating to data they control, and Polaris will provide reasonable assistance as processor.
